Privacy Policy
Lucent AI, LLC ("Lucent," "we," "us") provides financial and operational dashboard services to property-management businesses. This policy describes what information we collect when a client connects business systems — including QuickBooks Online — to Lucent, how we use and retain that information, and the choices clients have. It applies to lucentai.us and to the Lucent AI Dashboard Connector application.
Information we collect
When an authorized administrator at a client company connects their QuickBooks Online account to Lucent, we collect:
- Financial report data retrieved from the client's QuickBooks Online company via Intuit's API — primarily profit-and-loss report data and related account, class, and company information needed to render the client's dashboard.
- Connection credentials — OAuth tokens issued by Intuit that authorize Lucent to retrieve the data above. We never receive or store the client's QuickBooks username or password.
- Contact and account information for the client's authorized users, such as name and business email address.
Lucent's access to connected QuickBooks Online data is used only to read information. We do not create, modify, or delete records in a client's accounting system.
How we use information
- To retrieve, process, and display the client's own financial and operational data in the client's dashboard.
- To operate, secure, troubleshoot, and improve the reliability of the service.
- To communicate with the client about the service.
We do not sell client data. We do not share client financial data with third parties for marketing or advertising. We do not use client financial data to train artificial-intelligence models.
Service providers
We use a small number of infrastructure providers to deliver the service, each acting on our instructions:
- Google Cloud / Firebase — application hosting and database services where processed dashboard data is stored.
- Intuit — the QuickBooks Online platform from which connected data is retrieved, governed by Intuit's own terms and privacy policy.
Data retention
- Raw report data retrieved from QuickBooks Online is retained for up to 90 days to support data-integrity verification and troubleshooting, then deleted.
- Processed dashboard data is retained for the duration of the client's engagement with Lucent.
- Connection credentials (OAuth tokens) are stored in access-restricted systems and deleted promptly when a connection is disconnected or an engagement ends.
When a client disconnects QuickBooks Online or ends their engagement, we delete the client's financial data from active systems within 30 days of the disconnection or written request, and from backup systems within 90 days, except where a longer period is required by law.
Security
Client credentials and financial data are protected with access-restricted storage, encryption in transit, and least-privilege handling. Access to client data within Lucent is limited to personnel who need it to operate the service.
Disconnecting
A client administrator can disconnect Lucent's access at any time, either from within QuickBooks Online (Intuit's connected-apps settings) or by contacting us at todd@lucentai.us. Disconnecting revokes Lucent's ability to retrieve further data; previously retrieved data is deleted on the schedule described above.
Changes to this policy
If we make material changes to this policy, we will update this page and note the new effective date, and will notify active clients directly.
